Advancement (Public relations and advertising)
Justine Glynn and Don Hudson
Flyers, buttons, and t-shirts were a big hit at NMEA 2006. Further printing of flyers for mailings to NMEA chapters and other mailing lists will be necessary after editing of flyer. Theresa will be able to print more postcards.
Auction
Sharon Meeker
List of suggested solicitations will be developed soon. Auction form test site is now published on the downeast2007 section of the website. Download just the Auction Donation letter for printing here. Check out the donation form here: http://gommea.org/downeast2007/auction_donation_form.html

Read more details of evaluation planning.
Exhibits
Beth Owen
Beth has a near-final list of potentail exhibitors which was reviewed at our December meeting.
Field Trips
Lea Paddock
List of potential field trips has been narrowed to about 15. Lea will be coordinating checking out most likely choices. Read more details of field trip committee work.
Finance
Amy Smith Wilmot
The budget is reviewed each month. Anyone is welcome to attend these meetings. See schedule above for the next one. Amy has prepared a preliminary budget spreadsheet which Don is reviewing. Don, Amy, Justine, and anyone else interested: Monthly finance meetings the first Thursday of every month. More finance news....
Food
Jeff Sandler (Special Events)
Theresa Torrent-Ellis (Overall logistics)
USM has an excellent catering program, and we'll be providing breakfast and lunch daily for conference attentdees. All special events and regular meals will include vegetarian and vegan options. Theresa, Jeff, and Justine attended a meeting with USM on December 7 where we confirmed many more details of registration and facilities use. More details on food....
Fundraising and Sponsorships
Don Hudson
Don has the master plan for coordinated requests to organizations for sponsorship support, scholarships for teachers, general support, auction items, and in-kind services. Amy will be sending out a regular mail letter (Don is drafting now) in early December and will follow-up with phone calls.
Hospitality
Gayle Bodge
The Hospitality committee will be in charge of making every DownEast 2007 participant and their families feeling welcome and comfortable in Portland by answering questions about the conference, Portland, and surrounding areas.
More details on hospitality....
Lodging
Theresa Torrent-Ellis
Eastland Park Hotel has been retained as the central lodging, with dormitory space available at SMCC. Other hotels in the area are also available for those wishing pools or other facilities.
Program
Mark Wiley
Mark is preparing list of speakers to recruit and timetable for developing and sending out call for presenters. Call for papers is online now. We'll send out postcards to all NMEA members and some chapters announcing this, as well as posting items in NMEA news and other chapter newsletters.
Publicity
Mary Cerullo
Mary is preparing a postcard for wide use to publicize our Call for Papers. Word of mouth and the website seems to be spreading the word already!
Registration and Logistics
Theresa Torrent-Ellis and Karin Hansen
We have retained USM to do the conference registration. They will also be able to include field trip registration in their package. We will set up test registration site soon, probably early January.
Scholarships
Gayle Bodge and Suzy Ryan
COSEE will be sponsoring several teachers nationwide, and we'll also include a link to the NMEA scholarship program online. Other thoughts so far on scholarships.....
Special Events
Jeff and Deb Sandler
Performers have been scheduled, and retainers paid. Jeff is working out details of food and other logistics for special events.
Transportation
Jeff Sandler (temporary)
Two 56-passenger busses have been reserved for the entire week. We still need to pick a conference airline and negotiate special fares.
Volunteers
Vacant
After discussions - and observations! - at NMEA 2006, it became clear we need to have an overall coordinator for volunteers. Different committees may have their 'own' volunteers as well, but there are many functions for which an overall team of volunteers will be crucial. The person coordinating volunteers will need to be very familiar with ALL conference logistics and details. More on volunteers....
Web
Justine Glynn
Justine is adding more information to website more frequently. Downeast2007: Ideas, Innovations, and Inspirations was published just before NMEA2006, and will be added to as more plans become definite.
Next Monthly All-Committee meeting:
January 18: Gulf of Maine Research Institute, 2 - 5pm
